Workforce scope aligned with Pakistan to Saudi Arabia operating conditions

Create one controlled document register
Use one register for each approved recruitment campaign. Record the document name, issuing party, responsible owner, candidate or role reference, version, issue and expiry dates, verification source, required date and current status. Keep employer, agency and candidate documents separated while linking them to the same approved role and selection record. This reduces duplicate files, expired evidence and untraceable changes.
Employer authorization and demand records
The Saudi employer should confirm the hiring entity, authorized signatory, approved occupations, quantities, work locations, contract data and any applicable visa or authorization references. Demand letters, agency agreements or powers of attorney should reflect the real parties and approved scope. Required form, attestation, electronic process and validity may change, so verify current requirements through the relevant Saudi and Pakistani official channels before use.
Candidate identity and qualification records
Match the passport and identity details to the approved candidate record. Check name order, date of birth, passport validity, occupation, photographs and any required educational, professional or trade credentials. Do not alter records to force a match. Resolve discrepancies with the issuing or competent authority, preserve the correction trail and obtain candidate consent for the specific processing purpose.
Medical, visa and stamping checkpoints
Where applicable, use authorized medical and visa-processing channels and verify status through the relevant official systems. A medical result, visa authorization, embassy or service-provider submission and passport return are separate checkpoints; none should be assumed from another. Record the official reference, date and responsible party without publishing sensitive identifiers. Requirements vary by visa type and can change.
Pakistan emigration and protector formalities
Confirm the current requirements of Pakistan's competent emigration authorities for the worker category and destination. Employment terms, insurance, fees, orientation, registration and protector or emigration evidence may be required depending on the case. Employers and candidates should use official sources and licensed channels, keep receipts and never treat an informal message or agent assurance as final proof of clearance.
Release travel only after a final reconciliation
Before ticketing or travel, reconcile the approved candidate, contract terms, passport, visa details, medical status, emigration record, travel date, arrival contact, accommodation or transport responsibility and Saudi site readiness. Record exceptions and stop unresolved material mismatches. The final handover should show what was verified, by whom and when, while avoiding any promise that a document alone guarantees entry, employment or a particular outcome.
